Zapier is the best-known automation tool, but it isn't always the right one. The most common reasons UK businesses look for Zapier alternatives are cost, because Zapier charges for every step that runs, and control, because some workflows are too complex for Zapier or involve data that needs to stay on servers you choose.

This guide covers the main Zapier alternatives, what each is best at, and how to decide whether to switch. Prices were checked in October 2026 and change often.

Why look for a Zapier alternative?

  • Cost at volume. Zapier charges per task, and every action in a workflow is a task. A five-step Zap that runs 1,000 times a month uses about 5,000 tasks. Busy workflows get expensive. See our Zapier vs Make vs n8n comparison for current Zapier pricing.
  • Complex logic. Branches, loops and data transformation are possible in Zapier but awkward to build and maintain.
  • Data location. Zapier processes data in the US. That is workable with the right agreements, but some regulated firms prefer EU, UK or self-hosted options.
  • Microsoft 365. If you already pay for Microsoft 365, you may already have an automation tool included.

The best Zapier alternatives

1. Make: the best all-round alternative

Make (formerly Integromat) is the most common move from Zapier. Its visual canvas makes complex workflows easier to understand, it usually costs considerably less for the same volume, and you can choose EU hosting. In October 2026, paid plans started at about $9 a month billed yearly, with a free plan of 1,000 credits a month.

Best for: businesses that have outgrown Zapier but still want a no-code tool.

2. n8n: the best for control and AI agents

n8n can be used as a cloud service or self-hosted on your own server, including in the UK. It charges per workflow run rather than per step, so long workflows cost no more than short ones, and the self-hosted Community Edition is free. It also has built-in AI agent features. In October 2026, cloud plans started at £20 a month billed yearly.

Best for: businesses with technical support, high volumes, sensitive data or AI-heavy workflows.

3. Microsoft Power Automate: the best for Microsoft 365 businesses

If your team works in Outlook, Teams, SharePoint and Excel, Power Automate is often already included in your Microsoft 365 plan for standard connectors. It also handles approvals and desktop automation. Power Automate Premium was £11.50 per user per month paid yearly in October 2026. Read more in what is Power Automate.

Best for: businesses that run on Microsoft 365.

4. Activepieces: an open-source, no-code option

Activepieces is an open-source automation tool with a Zapier-like builder that you can self-host. It has fewer integrations than Zapier.

Best for: businesses that want a simple, self-hostable tool.

5. Pipedream: for developers

Pipedream is code-first: workflows can mix ready-made steps with your own code. It suits technical teams who find no-code tools limiting.

Best for: developers and technical teams.

6. Workato: for large organisations

Workato is an enterprise integration platform with strong governance, security and support, priced accordingly.

Best for: larger organisations automating across many departments.

7. IFTTT and Pabbly Connect: budget options

IFTTT is aimed at simple, personal automations. Pabbly Connect positions itself as a lower-cost Zapier alternative. Both can work for simple needs; check that the apps you use are supported before committing.

Should you switch from Zapier?

Switching isn't free: every Zap has to be rebuilt and tested, and your team has to learn a new tool. It usually makes sense when:

  • your Zapier bill has grown and most of the cost comes from a few busy workflows;
  • you're building complex workflows that are hard to maintain in Zapier;
  • you need data to stay in the UK or EU, or on your own servers.

A common approach is to move only the expensive or complex workflows to Make or n8n, and leave simple Zaps where they are.

How to migrate

  1. List every Zap, with how often it runs and how many steps it has. This shows where the cost is.
  2. Move the biggest one first and run both versions side by side until you trust the new one.
  3. Document each workflow as you rebuild it, so you're never dependent on one person.
  4. Switch off the old Zap only once the new workflow has handled real work without problems.
