For many UK businesses, especially clinics, salons, trades and local services, WhatsApp is where customers want to talk. That's great for customers and hard on the team: messages arrive at all hours, the same questions come up again and again, and conversations live on one person's phone.
WhatsApp automation fixes that. This guide explains what you can automate, the difference between the WhatsApp Business app and the WhatsApp Business Platform, what it costs, and the rules to follow.
WhatsApp Business app vs WhatsApp Business Platform
There are two ways for a business to use WhatsApp, and they offer very different levels of automation.
WhatsApp Business app
The free app for small businesses, used on a phone or computer. Its built-in automation is basic but useful:
- Greeting messages for people who message you for the first time.
- Away messages outside your opening hours.
- Quick replies, saved answers to common questions.
- Labels to organise chats, and a catalogue of products or services.
It's a good start for a sole trader or very small team, but conversations stay in the app and it can't connect properly to your other systems.
WhatsApp Business Platform
The platform (often called the WhatsApp API) is designed for businesses that want to automate conversations and connect WhatsApp to their systems. You access it through Meta's Cloud API or a provider, and it supports:
- WhatsApp chatbots and AI assistants that answer questions and book appointments;
- a shared team inbox, so several people can handle conversations;
- CRM and booking integration, so every conversation is logged against the right customer;
- automated notifications such as booking confirmations, reminders and order updates.
What you can automate on WhatsApp
Answering enquiries
An AI assistant can reply instantly at any hour, answer common questions using information you've approved, collect the customer's details and hand over to your team with a summary. See our guide to AI receptionists.
Bookings and reminders
Customers can book, move or cancel appointments in the chat, and receive confirmations and reminders automatically, which helps reduce no-shows.
Order and service updates
Send updates when something changes: an order is dispatched, a job is scheduled, documents are ready.
Follow-ups and reviews
After an appointment or job, send aftercare information, a check-in or a request for a review.
Document collection
Customers can send photos and documents in the chat, which are saved automatically to the right record.
The 24-hour customer service window
WhatsApp has an important rule. When a customer messages you, a 24-hour customer service window opens, and resets each time they message again. Within that window you can reply freely with normal messages. Outside it, you can only contact the customer using pre-approved message templates, such as an appointment reminder or a marketing message you've had approved by Meta.
Any WhatsApp automation has to be designed around this rule.
WhatsApp Business Platform pricing
In October 2026, Meta's published pricing worked like this:
- Meta charges per delivered message sent by the business, at rates that depend on the type of message (marketing, utility, authentication or service) and the recipient's country.
- Messages from customers to your business are free.
- There are free allowances, including a monthly free tier of service messages.
If you use a provider, they will usually add their own monthly fee for the inbox, chatbot or integrations. Check Meta's current rates for UK numbers before you plan a large campaign.
Rules to follow
- Get opt-in. Customers must have agreed to receive messages from you before you start a conversation with them.
- Follow UK marketing rules. Under PECR, marketing messages generally need consent, with limited exceptions for existing customers. Keep marketing and service messages separate.
- Protect personal data. Under UK GDPR, you're responsible for conversation data. Know where your provider stores it, keep only what you need, and make sure it isn't used to train AI models.
- Let people reach a person. Automation should always offer an easy way to talk to someone.
- Sector rules still apply. Clinics must not promote prescription-only medicines and should route clinical questions to a practitioner; financial firms must keep advice with qualified people and keep proper records.
How to set up WhatsApp automation
- Decide what you want to automate first, usually answering enquiries or sending reminders.
- Choose the app or the platform. If more than one person handles messages or you want integrations, you'll need the platform.
- Write and approve your answers and templates.
- Connect your booking system or CRM so conversations and bookings are recorded. See CRM integration.
- Test with real scenarios before switching it on for customers, then review conversations weekly at first.
