An AI automation agency builds systems that do routine work for your business: moving data between your software, reading documents and emails, answering enquiries and preparing reports, with AI handling the steps that used to need a person to read or decide. In the UK, the market has grown quickly, and the agencies range from one-person freelancers to specialist consultancies.
This guide explains what an AI automation agency does, what AI automation services cost in the UK, how agencies differ from automation consultants and software vendors, and how to choose one.
What does an AI automation agency do?
A good AI automation agency will usually:
- Map your processes. Find out how work moves through your business today, where time is lost and which tasks are worth automating.
- Recommend what to automate first, ranked by hours saved, risk and effort.
- Build the automations, using tools such as Zapier, Make, n8n or Microsoft Power Automate, custom code, and AI models from providers such as OpenAI, Anthropic or Microsoft.
- Test them on real work, including the unusual cases.
- Hand them over or run them for you, with documentation, monitoring and support.
Typical projects include enquiry handling, client onboarding, document and invoice processing, CRM and accounting integrations, AI receptionists and assistants, meeting notes and recurring reports. If you're not sure where your own business would start, our guide to small business automation lists the processes most worth automating first.
AI automation agency, consultant or software?
These terms overlap, but the differences matter when you're buying.
- AI automation agency. Designs and builds automations for you, usually across several tools. Best when you want something built and running.
- AI automation consultant. Often an individual or small firm focused on advice: which processes to automate, which tools to use, and how to govern AI. Some also build. See our guide to AI consultants for small businesses.
- Software vendor. Sells one product, such as an AI receptionist or a document-processing tool. Best when one product covers your whole need.
Many businesses use a mix: a product where one fits, and an agency to connect it to everything else.
How much do AI automation services cost in the UK?
Published pricing from UK automation agencies and freelancers tends to fall into three broad bands:
| Type of project | What it usually involves | Typical one-off cost |
|---|---|---|
| A single, simple workflow | Connecting two or three cloud tools, such as a web form to your CRM and email | Roughly £500 to £3,000 |
| A multi-step AI workflow | Several systems, AI reading documents or emails, exception handling and testing | Roughly £3,000 to £15,000 |
| A wider programme | Several workflows or AI agents across a department, client-facing AI, security and governance work | £15,000 and up |
Treat these as a starting point. Two projects that sound the same can differ a lot once you look at the systems and exceptions involved.
What drives the price
- The number of systems. Connecting two mainstream cloud tools is quick. Older software, desktop-only systems and tools without an API take longer.
- How messy the inputs are. A tidy web form is easy. Free-text emails, scanned PDFs and documents in many layouts need more testing.
- Exceptions. Most of the effort goes into what happens when something is missing, unusual or ambiguous.
- Risk and compliance. Anything client-facing, health-related or involving money needs stronger safeguards, approvals and audit trails.
Running costs
Budget for the automation platform subscription (our Zapier vs Make vs n8n comparison includes current prices), AI model usage, any hosting, and maintenance, either by your own team or through a monthly support arrangement with the agency.
Will it pay for itself?
For each process, multiply the hours saved per week by the hourly cost of the person doing the work and by the number of working weeks in a year. For example, a workflow that saves six hours a week of a team member costing £30 an hour, over 46 working weeks, is worth about £8,280 a year. A £5,000 build with £100 a month in running costs would pay back in under a year.
Faster replies, fewer errors and better records add to that, even if they are harder to price.
How to choose an AI automation agency in the UK
Questions to ask
- Can you show us something you have built that is similar to what we need?
- Who owns the workflows, code and accounts when the project ends? It should be you.
- What happens when the automation meets something unusual? Listen for a clear exception process, not "it won't".
- Where is our data processed and stored, and is it used to train AI models? For UK businesses, UK or EU processing is often preferable, and your data should never train public models.
- How will we know it's working? Ask for a baseline measurement before the build and the same measurement after.
- What will it cost to run each month, at our volumes?
- Who fixes it if it stops working, and how quickly?
Warning signs
- A fixed price before anyone has looked at your process.
- A recommendation to replace software that works, without a clear reason.
- No plan for exceptions, testing or human approval.
- Vague answers about data, security or who owns what.
- Everything built in the agency's own accounts, so you can't leave.
Should you choose a local AI automation agency?
Most automation work is done remotely, so you don't need an agency in your town. A UK-based agency does help with UK-specific requirements such as UK GDPR, sector regulators like the FCA, and UK software such as Xero, Sage, IRIS and Making Tax Digital. If you're in London, an agency that can meet your team in person for the discovery workshops can speed things up.
How FDE Solutions works
FDE Solutions is an AI consultancy and automation agency based in London, working with growing UK firms. Every engagement starts with a short discovery: we map the process with your team, estimate the hours it costs today, and give you a prioritised roadmap whether or not we build it. We then build the most valuable automation first, inside the tools you already use, with exception handling, audit trails and a person approving anything that matters. Once the work is paid for, you own everything we build.
